This policy applies to all websites owned and operated by Algoritmi Ltd. and its wholly owned subsidiaries (referred to collectively as “Algoritmi,” “Acclarity,” “we,” or “us”), as well as to all online services, apps, products, and other solutions we provide (collectively, the “services”).

If you are using any of our products or services, then the text applies to you and your personal data. By “personal data,” we refer to identifiable information about you. This includes information such as your name, email address, physical address, phone number, bank account details, payment information, support queries, community comments, etc. The policy does not apply to data that cannot be used to identify you — such as aggregated and anonymized data. We may also process business financial data that you connect to our services, such as bookkeeping records, invoices, transactions, and accounting data imported from third-party platforms (e.g., QuickBooks Online, Stripe, and Shopify). We treat this data with the same level of protection as personal data unless it has been anonymized. We do not use such accounting or financial data for advertising, profiling, or any purpose unrelated to the services you have enabled.

To stay up to date with current data protection standards, we may occasionally update this policy. When and if that happens, you will be notified via email or through an in-app notice.

How We Handle Your Data

Depending on the context, we act either as a data controller (for account, billing, and website usage information) or a data processor (for financial and accounting data imported from platforms such as QuickBooks Online, Stripe, and Shopify).

Because we know just how priceless your data is, we consider its integrity our number one priority. You can always expect honesty,safety, and responsibility from us when we work with your information.

Honesty means that we will not use your data for purposes beyond those described in this policy without obtaining your consent or having a legitimate legal basis.

We ensure the safety of your data by keeping up with industry standard data security conventions, and constantly updating our technology and practices.

Finally, we take full responsibility for the integrity and inviolability of your personal data while it is in our care. We maintain a list of sub-processors and make it available on request.

How We Collect Your Data

We collect your data whenever you interact with our website or otherwise use our services. We do so in three different ways:

By gathering information that you yourself provide. This data includes personal information that you enter by yourself, after being asked to do so as part of our websites or services. By procuring information from third parties. To get a clearer picture of your preferences and improve your experience with us even further, as well as verify the information you provide, we may also collect your personal data from external sources. These include reliable third parties such as public sources, market research agencies, and others.

Any personal data that we collect will only be processed under one of the following legal bases:

  • To deliver your services to you, as detailed in our contract.
  • When processing your personal data is in our legitimate interests, without coming into conflict with your rights.

When you connect our services to third-party platforms (such as QuickBooks Online, Stripe, or Shopify), we access only the data necessary to provide the service features you have enabled. We never access financial data beyond what is required to perform those features, and we do not use imported accounting data for analytics or advertising. We do not share your imported accounting data with any third party except as required to operate the service or comply with law.

We do not “sell” personal data as defined under the California Consumer Privacy Act (CCPA). We also do not “share” personal information for cross-context behavioral advertising.

International Data Transfers

Data that we share may be transferred to, and processed in, countries other than your current country of residence. Some examples include Canada, the United States, and the Netherlands, where our data hosting providers’ servers are located. While the laws of those countries may be different from those in your country of residence, you can rest assured that we always take steps to ensure the safety of your personal data.

This means that if you reside in the European Economic Area (EEA), your data may be transferred outside of the EEA. Your data will only ever be transferred to countries that have been identified as providing adequate protection for EEA data (such as Japan), or to a third party with which we have taken steps to ensure sufficient security for your personal data (for instance, by applying the European Commission’s Standard Contractual Clauses). Security

Protecting your personal data is one of our highest priorities. We have implemented technical and organizational measures to keep the acquisition, storage, accessing, and disclosure of your personal data private and secure and we follow industry-standard practices (such as HTTPS, encryption in transit and at rest, access controls, audit logs).

Your personal data, whether stored or in transit toward or between our facilities, is encrypted by using industry standard data encryption technologies and practices. Payment data (such as cardholder data for credit cards and payment processors) is likewise encrypted and handled in accordance with PCI Data Security Standard requirements.

Our physical facilities have been outfitted with security measures aimed at preventing the loss, misuse, or alteration of your stored information. On-site security is strict, and access to our data storage facilities and servers is tightly controlled via dedicated staff, high-tech locks, camera footage, and additional measures.

Our physical servers also make use of redundant storage, minimizing or outright eliminating the risk of any data loss due to hardware failure. In cases where a breach or data loss actually does take place, we will immediately notify the relevant authorities, and take steps to have the breach investigated and resolved at minimal (or preferably no) loss on your end.

Our staff has received training on the importance of personal data and its security, the relevant laws and their requirements, as well as the best practices when handling personal data. In addition, company employees may receive additional training courses when it is deemed that their knowledge and skills require updating.

We have a designated compliance officer, tasked with enforcing our data security policies and ensuring our compliance with the applicable local and international laws.

However, the internet is not a perfectly safe medium for transferring data. Therefore, we cannot guarantee the security of your (or anyone else’s) personal information with 100% certainty, but we can vouch that we take all the possible steps to minimize the chances of any negative outcomes.

We do not engage in automated decision-making that produces legal or similarly significant effects on you.

Retention

How long we end up keeping your personal data will depend on the data in question, as well as our ongoing business needs. For instance, we may require your data to deliver your requested services, or to comply with applicable legal, tax or accounting requirements.

We will only retain your personal information while we have a working relationship with you, and for a period of time afterwards where we have ongoing business and legal needs to retain it, in accordance with our data retention policies and practices. After that period, we will have the data deleted or anonymized.

We typically retain account information for 2 years after the end of the relationship unless legal obligations require a longer period.

We delete or anonymize backups on a scheduled rolling basis and ensure that old retained versions are securely purged.

Your Rights

You have your rights when it comes to your personal data. You can always:

  • Request that we stop sending you promotional and marketing materials
  • Learn exactly what kind of personal data we hold about you
  • Give us an update to ensure that your personal data that we hold is correct and up to date
  • Request that a copy of your personal data be delivered to you

Children’s Privacy
